Welcome to Healing Notes. By accessing our website, booking lessons, or using our services, you agree to the following Terms & Conditions. Please read them carefully.
1. About Healing Notes
Healing Notes provides music education services, including but not limited to piano lessons, music instruction, and educational content, for students of various ages and skill levels.
2. Eligibility

Students under 18 must have permission from a parent or legal guardian.

Parents/guardians are responsible for ensuring students attend lessons on time and follow studio policies.
3. Lesson Booking & Payments
-
Lessons must be booked in advance through our website or approved scheduling platform.
-
Payment is required prior to the lesson unless otherwise agreed in writing.
-
Accepted payment methods include credit/debit cards, Zelle transfers, cash, scholarship funds...etc.
-
Prices are subject to change with reasonable notice.

If using Step Up/EMA Direct Pay, the Parent/Guardian understands that they are responsible for:
1. Confirming that the student has available scholarship funds.
2. Reserving or authorizing funds in EMA when required.
3. Selecting the correct service/category in EMA.
4. Ensuring that Healing Notes is properly selected as the provider.
5. Approving or responding to any EMA request related to the service or invoice.
6. Paying privately for any service denied, rejected, not covered, not approved or not paid by EMA.
4. Step Up / EMA Direct Pay Policy
When using EMA direct pay, the Parent/Guardian understands that:

The service must be approved or allowed under the student’s scholarship rules.

The Parent/Guardian is responsible for confirming eligibility before services begin.

Healing Notes may submit billing only for services that have already been provided/rendered.

If EMA does not pay, delays payment, rejects the invoice, denies the service, or if the family does not have sufficient available funds, the Parent/Guardian remains financially responsible for the balance.
Important: Step Up/EMA approval is not guaranteed by Healing Notes. Final approval depends on Step Up For Students, EMA, the scholarship type, available funds and the rules in effect at the time of billing.
5. Insufficient Funds, Denied Claims or Non-Payment

If Step Up/EMA does not pay for any reason, including insufficient scholarship funds, parent error, ineligible category, denial, incomplete documentation, expiration of funds, or failure to approve the service, the Parent/Guardian agrees to pay Healing Notes directly.

Payment must be made within 7 days of notification.
-
Healing Notes may pause or discontinue services if payment remains unresolved.
6. Make-Up Lessons
-
Make-up lessons are only offered when:
1. The cancellation was made at least 48 hours in advance.
2. The student has not exceeded the two allowed reschedules for the month.
3. Healing Notes has available times.
4. The account is in good standing.
-
Make-up lessons must be completed within the same month unless Healing Notes agrees otherwise in writing.
7. Provider Cancellation
-
If Healing Notes must cancel a lesson due to illness, emergency, weather, scheduling conflict or other unforeseen circumstances, the lesson will be rescheduled or credited.
-
Provider cancellations do not count against the family’s two monthly rescheduling opportunities.
8. Monthly Billing Dates
Billing and administrative processing will take place during the first three calendar days of each month.
For Step Up/EMA families, this may include:
-
Reviewing reserved funds.
-
Submitting invoices for services already rendered.
-
Confirming service orders.
-
Communicating with the Parent/Guardian about any pending EMA action.
For private-pay families, monthly tuition or package payments are due during the first three calendar days of the month unless otherwise agreed in writing.
9. Attendance and Scheduling
-
The Parent/Guardian agrees to attend scheduled lessons consistently and on time.
-
Students are required to be accompanied by one parent exclusivly for each indiviual session.
-
Students will be accomapanied by one guardian only. Additional family members may wait outside the studio in the barbecue or playground area due to the limited space and the need for the student’s full attention.
-
The Parent/Guardian understands that Healing Notes reserves a specific time slot for the student. This time is held exclusively for the student and may not be available to other families.
-
If the student arrives late, the lesson will still end at the originally scheduled time. The full lesson fee applies.
-
If the student is more than 30 minutes late without communication, the lesson may be considered a no-show.
10. Cancellation & Rescheduling Policy
-
A minimum of 48 hours notice is required to cancel or reschedule a lesson.
-
Late cancellations or no-shows may be charged the full lesson fee.
-
Healing Notes reserves the right to reschedule lessons due to emergencies or unforeseen circumstances.
-
Rescheduling is subject to provider availability. Unused weekly sessions may roll over to the following week or be rescheduled within the same week as the previous session.
Sessions scheduled on federal holidays may be rescheduled, and are subject to provider availability.
Rescheduling opportunities are limited to one time per month.
11. Illness and Emergencies
-
If the student is sick, the Parent/Guardian should notify Healing Notes as soon as possible.
-
Healing Notes may offer a reschedule when notice is provided at least 48 hours in advance and availability permits. Emergency situations may be reviewed on a case-by-case basis, but repeated last-minute cancellations may still be charged.
-
Healing Notes reserves the right to refuse in-person service if the student appears contagious or if attending the lesson may pose a health risk to the provider or other students.
12. Discontinuation / Withdrawal Policy
-
The Parent/Guardian may discontinue services by providing written notice at least one full month in advance.
-
For example, if the family wishes to stop lessons in August, notice must be provided no later than the beginning of July, or according to the billing cycle agreed upon.
-
If the Parent/Guardian stops attending without proper notice, the family remains responsible for payment for the required notice period.
-
This policy allows Healing Notes to manage scheduling, staffing, income planning and availability for other families.
13. Refund Policy

Lesson fees are non-refundable once a lesson has been provided.
-
Refunds for prepaid lessons may be considered only under exceptional circumstances at the discretion of Healing Notes.
14. Student Conduct
Students are expected to:

Arrive on time and prepared for lessons.
-
Treat instructors and instruments with respect.
-
Follow reasonable instructions during lessons.
Healing Notes reserves the right to discontinue lessons for repeated disruptive or inappropriate behavior.
15. Educational Disclaimer

Healing Notes provides music education and instructional services.
-
We do not guarantee specific musical outcomes, skill levels, or performance results, as progress varies by individual.
16. Intellectual Property
All lesson materials, exercises, recordings, written content, and website materials are the intellectual property of Healing Notes unless otherwise stated.
You may not:

Copy, distribute, or reproduce materials without written permission.

Record lessons without prior consent.
17. Media & Recordings
-
With prior consent, lessons may be recorded for educational purposes.

Healing Notes will never publicly share student recordings without written permission from the student or parent/guardian.
18. Limitation of Liability
Healing Notes is not liable for:

Personal injuries occurring outside of our reasonable control.
-
Technical issues affecting online lessons.
-
Loss or damage to personal property.
All services are provided “as is” and at your own risk.
19. Service Records

Healing Notes may keep records of:
1. Attendance.
2. Dates of service.
3. Duration of lessons.
4. General educational focus.
5. Billing status.
6. Parent communication related to scheduling or payment.

These records may be used for administrative, billing or EMA-related purposes.
20. Privacy
Your use of our services is also governed by our Privacy Policy, which explains how we collect, use, and protect your personal information.
21. Termination of Services
Healing Notes reserves the right to suspend or terminate services if these Terms & Conditions are violated.
22. Governing Law
These Terms & Conditions are governed by the laws of the State of Florida, without regard to conflict of law principles.
23. Changes to These Terms
Healing Notes may update these Terms & Conditions at any time. Updates will be posted on this page with a revised “Last updated” date.
